Topics management

- Number of used topics against the total number of topics available on the account (number of topics available on the account means the number of topics which a client bought from the service provider and the number of used topics equals the number of topics which have been set up and saved on the account).
- Topic’s name – clicking on the topic name moves the user to the topics creator where editing is possible.
- Set up a summary – in this place we will find information regarding number of used rules and phrases, also narrowing to particular domains or social media channels.
- New topic – after clicking we are moved to the topics creator.
- Duplicate – option which allows to copy the already existing topic; a duplicated topic can be edited freely or saved as a new one.
- Delete.
Filtering topics
In order to search for a topic, you should start typing its name in the “filter topics” window (1). With every next letter typed, the topics list will be narrowed to those which meet browsing requirements. Additionally, we will also receive information on how many topics among the total number meet our requirements (2).

Topics creator
In order to go to the topics creator, you should click on “+CREATE” in the Topics module. It is also possible to move to editing the already existing topic or duplicate it.
The topic set-up should be started with typing its name. The name should define an issue which we want to monitor in a concise way. The name should also be as brief as possible (despite the lack of signs limit) and easily recognizable for team members.
In SentiOne there are two kinds of the topic set-up:
- Basic Mode.
- Advanced rules.
Basic mode
The topic set-up in basic mode consists of a few stages:
Stage 1. Keywords
Stage 2. Adding a fanpage (optional)
Stage 3. Including/Excluding domains/links (optional)
When we enter the topics creator, we can see two windows open by default where we can start typing keywords (these are simple keywords – not advanced – without narrowing to content). However, if you want to use other rules, you should close both windows, then click Keywords and select an appropriate rule.
Keywords

Keywords are divided into:
- Keywords (content and context) / Keywords (only content)
- Advanced keywords (content and context) / Advanced keywords (only content).
Apart from the above rules, by clicking on Keywords the user can choose the advanced mode (Advanced rule) described in the further part of the instruction.
Rules applying instruction in Basic Mode
Keywords
Possible special signs * / ?
– ? means that after a word there must be at least one more sign (attention: a phrase “internet?” WILL NOT pick up the word “internet”)
– * means that after a word there can be any number of signs (attention: a phrase “internet*” WILL pick up the word “internet”)
Examples: internet, internet?, internet*
In mentions we will receive respectively: internet, internetu, internet, internecie, internetowy, internetów (different variations of the word “internet” in Polish)
If in the keywords we will type two words or more with spaces between them (without a quotation mark), in mentions we will receive statements in which given words appear directly next to each other in a specified order.
If we type, for example, social media – both typed words must appear in the content or statement context next to each other in a given order.
Typing “recommend you” in keywords has the same results as typing “you recommend” in advanced keywords.
Searching in content and context
Typed keywords will be searched in content, authors and in context (e.g. if under a post on Facebook, in which keywords appear, there are comments which do not contain them, they will appear in a statement the profile SentiOne).
Keywords (content only)
Introducing keywords follows the same instruction as above.
Typing words with spaces as above.
Searching in content.
Introduced keywords will be searched only in content (excluding the author and context; it means that keywords must appear in every statement content).
Advanced keywords
Possible special signs * / ? / ”” / ””~2
Rules * and ? in advanced keywords work the same as in keywords.
/rules with a quotation mark are applicable to more than one keyword/
– “word1 word2” means that keywords included in quotation marks must appear in content or context in exactly the same form (directly next to each other) taking into account the order of given words in quotation marks.
– “word1 word2”~1 means that keywords must appear in content or context, BUT
o between words maximum one more word can appear (in this case words in quotation marks must appear in a given order)
– “word1 word2”~2 means that keywords must appear in content or context, BUT:
o between words maximum 2 other words can appear (in this case words in quotation marks must appear in a given order)
OR
o words in quotation marks can appear in a different order, but between them cannot appear any other words
– “word1 word2”~3 means that keywords must appear in content or context, BUT:
o between words can appear 3 other words (in this case words in quotation marks must appear in a given order
OR
o words in quotation marks can appear in a different order and between them maximum 1 word can appear
– any other number added after a swung dash (bigger than 3) causes that between word1 and word2 one more additional word can appear.
To sum up: number given after a swung dash (which can be arbitrary) increases the space between words in quotation marks or changes their order.

In other words (description for rule ””~x):
Let’s imagine that words in quotation marks are objects lying next to each other in the same order and the number after a swung dash (~) means the number of possible moves. A move can be:
1) Exchange of neighbouring objects which costs 2 moves
2) Adding a new object in a particular place
However, you can always make less moves.
If we have ~2, we can change the objects’ order without adding a new object or add maximum 2 objects without changing their order.

If in keywords we type two words or more with spaces between them (without quotation marks), in mentions we will receive statements in which given words appear BUT not necessarily directly next to each other and also at random order.
Advanced keywords (content only)
Analogously to advanced keywords / searching only in content.
IMPORTANT: in quotation marks you cannot use signs * and ?
Signs * and ? also cannot be used before a word / forms such as *sentione or ?sentione are incorrect.
Between separate keywords (included in separate rules) there is a rule OR – it means that in mentions must appear at least one of the keywords which we typed.
Additionally, in advanced keywords we have an option to create such a structure as:
“I am a sentione client ” recommend
In this case between “I am a sentione client” and recommend there is AND which means that in a statement all keywords must appear (those from quotation marks in such a form, order in which they are given, a word outside the quotation mark can appear in any place, and any distance)
Other forms are also acceptable:
„I am a sentione client”~4 recommend
sentione* recommend
Excluding
Each rule can be added as INCLUDE or EXCLUDE.
Keywords added as INCLUDE – on their basis the system collects mentions.
Keywords added as EXCLUDE – on their basis the system eliminates unwanted content from mentions.
Adding exclusions is possible only after defining minimum 1 rule added as INCLUDE.
In order to exclude keywords, you must choose a proper rule by clicking Keywords, and then click on the option INCLUDE set by default – as a result the option INCLUDE will be changed into EXCLUDE.
The same steps you have to apply in case when you want to exclude from content mentions, fanpages or domains/links.

Fanpage – adding a fanpage leads to obtaining in mentions (apart from statements containing keywords given by us collected from all sources) all content published both by the administrator and users on a given website on Facebook.
Example: The set-up below means that on the basis of the keyword sentione* all mentions from the entire web containing the keyword are collected (also in context, because the keyword is not narrowed to content). Additionally, thanks to the fanpage we will receive all mentions coming from the SentiOne fanpage on Facebook (also those not containing keywords).

Using the Fanpage rule we can also set a topic in which we will receive all content from a given fanpage (in this case you should choose the Fanpage rule without defining any keywords).
Fanpage (filtered) – in case of choosing this rule, content coming from a fanpage appears in mentions, but only such content with keywords. It is advisable to remember that the Fanpage rule (filtered) does not equal with narrowing mentions to a given fanpage – apart from them, content coming from other sources will appear in the system (matching with keywords)
Group – analogically to the Fanpage rule, the user can collect results from a chosen group on Facebook.
Event – analogically, the user can choose to collect results from a specific event on Facebook.
Therefore it is worth to add a fanpage: the system in the first instance collects mentions from the most popular websites which add most content. If we add a fanpage which we think is crucial, the system will treat it as a priority. As a result, mentions will be collected faster and more profoundly (option to increase number of mentions).

Domains – the rule allows us to narrow mentions to a particular domain. By applying it, we can also exclude from mentions those statements that come from a particular website. The domain rule application does not require defining keywords – by defining only a domain that interests us, we will receive all mentions from a particular source regardless of their content.
Urls – the rule works analogously to the Domain rule, allowing to narrow mentions to a particular link (this could be, for example, a thread on a forum)
Language – this rule allows users to filter mentions by languages available for them.
Additional options

Additional options allow to:
- Ignore diacritical marks.
- Set email alert to a given topic.
- Create a new dashboard.
Ignoring diacritics (turned on by default) – such a setting causes that regardless of us using diacritic signs (such as ą, ę, ż) or not in keywords the system will collect all content containing keywords with both diacritic signs and without them.
Examples: paczki -> paczki, pączki / pączki ->paczki, pączki
(”paczki” means ”boxes” / ”pączki” means ”donuts”)
Advanced rules
Using Advanced Rules we switch to the advanced topic set-up mode. Automatically a window is opened in which we must type a topic using a number of special signs. It is not possible to link the set-up in basic and advanced mode.
